Privacy policy

Remember Media is a content operations app run by Remember Media, based in Memphis, Tennessee ("we"). This policy explains what the app and the site at remembermedia.app collect, how we use it, and the choices you have. It covers the app only. Remember Media's agency services for its own clients run under each client's service agreement.
Who this policy covers
- Subscribers: the organizations that create an account and the team members they invite.
- Clients and stakeholders: people a subscriber invites to a portal to review and approve work.
- People who interact with a connected account: anyone who comments on, messages, or reviews a social media account a subscriber has connected. We receive those interactions from the platform so a person on the subscriber's team can reply.
- Visitors to remembermedia.app.
What we collect
- Account and team: name, email, a password (stored by our sign-in provider as a one-way hash) or Google sign-in, role, time zone, working days, organization name and logo.
- Brand and client details a subscriber enters: brand voice, pillars, contacts and their roles, agreements, plans and prices, shoot locations, notes.
- Content: posts, captions, images, video, shot lists, comments and approvals, with the name and time attached to each.
- Connected platform data, only with your permission: for the Facebook Pages and Instagram professional accounts you connect, the account's profile details, published media, insights, comments, messages, mentions and tags, and an access token that lets the app act for you. See "Facebook and Instagram data" below.
- Billing: plan, invoices and payment status. Card numbers go to Stripe and never touch our servers.
- Usage and technical: sign-in times, pages used, actions recorded in the audit log, browser and device type, IP address, errors, and support requests.
- Email: delivery and open status of the emails we send you.
How we use it
- To run the service: plan, produce, review, publish and report on content at your direction, and show comments and messages so a person on your team can reply.
- To keep accounts safe: sign-in, roles, two-factor authentication, audit logs and abuse prevention.
- To bill you and send receipts.
- To support you and tell you about changes to the service.
- To improve the app, using aggregate usage patterns.
- To meet legal obligations.
We don't sell personal data. We don't run ads or sell audiences. The app never publishes, sends or replies on its own: a person on your team sends every post and every reply.
AI features
When AI features are available, they draft suggestions from your organization's own content and standards, they are labeled as suggestions, and a person decides what to use. Your content never trains models for another organization and is never sold.
Facebook and Instagram data
The app uses Meta's APIs under Meta's Platform Terms and Developer Policies.
- What we receive: only what you grant when you connect an account: the profile details, media, insights, comments, messages and mentions of that Page or Instagram account, and an access token.
- How we use it: to publish the posts you approve, to show comments and messages to your team, to let a person reply, and to report results. Nothing else.
- Who sees it: members of your organization with a role on that brand, and the clients or stakeholders you choose to share results with. It is never sold, never shared with other subscribers, and never used for advertising.
- How long we keep it: for as long as the account stays connected. When you disconnect the account, remove Remember Media from your Facebook or Instagram settings, or delete your organization, we delete the data received from that account within 30 days. Posts and captions you created in the app stay with your account until you delete them.
- Your controls: disconnect the account in Settings › Publishing & integrations, or remove Remember Media under Facebook Settings › Apps and websites or Instagram Settings › Apps and websites. The Data deletion page has the steps.
Meta's own handling of your data is governed by Meta's Privacy Policy.
Models
When you join an organization's model list, that organization collects details to book you safely and fairly.
- What we collect: your name, email, phone, birth date, sizes, emergency contact, your On camera answers, your availability, the photos you upload, photos from your shoots, your signed release, and tax form details for paid bookings.
- Who sees it: the organization's team sees your age, not your birth date. Your sizes, On camera answers and photos are seen by the team booking the shoot. Your emergency contact is shown only on the shoot day. Only Owners see your tax details. Clients never see your contact details, birth date, emergency contact or tax details.
- How long we keep it: your profile is kept for 2 years after your last shoot. Tax details are kept for 2 years.
- Deleting your data: tap Delete my profile on the model portal, or email support@remember901.com. An Owner reviews the request. Photos already used under a release you signed stay in use, as the release says.
Who we share it with
- Service providers that work for us under contract and only to run the service: hosting and database (Lovable Cloud), file storage (Cloudflare R2), email delivery (Resend), payments (Stripe), and the platforms you choose to connect (Meta, Canva, Pallyy, bundle.social, and any you add later). Each sees only what its job needs.
- Your organization and the people you share with: your teammates by role, and clients or stakeholders through the portals you invite them to.
- Legal reasons: when the law requires it, to protect people from harm, or to enforce our terms.
- A sale or merger of the business, with notice to account Owners.
Client portals
Portal links are private to the brand they belong to. Share them only with people who should see that brand's work. Approvals and comments made in a portal record the person's name and the time.
How long we keep data
While your organization is active, and for 30 days after cancellation so you can export it. After that it's deleted, apart from invoices and payment records we must keep for tax and accounting, and anonymous usage statistics. Backups clear on their normal cycle. Data from connected platforms follows the 30-day rule above.
Security
Data is encrypted in transit and stored with access limited to your organization. We never ask for or store your social media passwords: connections use each platform's official login, and the app refuses passwords typed into any field. No system is perfectly secure, so tell us at support@remember901.com if you suspect a problem with your account.
Your choices and rights
- Access, correct or export your organization's data from Settings, or ask us.
- Delete your account or organization: see the Data deletion page.
- Disconnect any platform at any time.
- Email: we send service emails (invites, approvals, reports, billing). We don't send marketing email without your permission, and optional notices can be turned off in Settings.
- Cookies: the app uses cookies only to keep you signed in and remember your preferences. The marketing site uses privacy-friendly page analytics that set no cookies and don't track you across sites.
If you live in the European Economic Area, the United Kingdom, California or another place with privacy rights, you may have the right to access, correct, delete or restrict the use of your data, and to complain to a regulator. Email us and we'll respond within 30 days. We process data in the United States.
Children
The app is for businesses and professionals. It isn't directed at anyone under 18, and we don't knowingly collect data from children.
Changes
We'll post changes here with a new "Last updated" date and email account Owners about material changes before they take effect.
